Managing Your Subscription and Billing
Understand how to change plans, retrieve your invoices, and track your usage to control your budget.
Introduction
DoxyChat offers a flexible pricing structure designed to scale with your business. Whether you need more power or want to scale down, you maintain full control over your subscription directly from the Subscription (or Billing) tab in your Settings.
All financial transactions are secured and managed by our partner Stripe, a global leader in online payments.
Changing Plans (Upgrade / Downgrade)
You can modify your plan at any time to adapt it to your current needs.
- Go to Settings > Subscription.
- You’ll see your current plan along with other available plans (Starter, Growth, Business, Agency).
- Click the Upgrade to… button under the plan that interests you.
How Does It Work?
- Upgrade (Moving to a higher plan): The change is immediate. You instantly unlock new features and additional quotas. You only pay the prorated price difference for the remainder of the month.
- Downgrade (Moving to a lower plan): The change takes effect at the end of your current billing period. You keep your current benefits until that date.
Warning: Before moving to a lower plan, make sure your current usage (number of documents, chatbots) fits within the new plan’s limits. If you have too much data, the system may ask you to clean up before accepting the change.
Customer Portal (Invoices and Payment Methods)
For all administrative tasks, DoxyChat provides a secure Customer Portal hosted by Stripe.
To access it:
- In the Subscription tab, click the Manage my billing button.
- You’ll be redirected to a secure page where you can:
- Download your invoices: Access your complete payment history and download receipts in PDF format for your accounting.
- Update your credit card: Change cards if your current one expires or if you switch banks.
- Modify your billing information: Add your VAT number or change your billing address.
To return to DoxyChat, simply click the “Return” link at the top left of the portal.
Understanding Quotas and Hard Limits
Each DoxyChat plan includes specific technical limits to guarantee service quality. Understanding them is important to avoid any service interruption.
You can track your usage in real-time through the progress bars displayed in your dashboard.
Types of Limits
- Number of Chatbots: How many different assistants you can create.
- Number of Documents: How many files or URLs you can import in total.
- AI Requests (Messages): The number of responses your chatbot can generate per month.
What Happens If I Reach a Limit (Hard Limit)?
DoxyChat applies strict blocking (Hard Limit) when a quota is reached:
- Document Quota Reached: You can no longer add new files or index new web pages until you delete old sources or upgrade your plan.
- Message Quota Reached: This is the most critical. If you exceed your monthly message allowance:
- The chatbot stops responding to questions.
- Instead, it automatically switches to “Contact Form” mode (if Lead Gen is enabled) or displays an unavailability message.
- Solution: Immediately upgrade to a higher plan to resolve the situation, or wait for your monthly quota renewal.
Tip: We send you an email alert when you approach 80% and 100% of your message quota to allow you to plan ahead.
