Collect leads (Lead Gen) with your chatbot

Turn your conversations into sales opportunities by enabling your chatbot to capture your visitors’ contact details.

Introduction

Your DoxyChat chatbot is an excellent support tool, but it’s also a formidable sales agent. Instead of letting a visitor leave anonymously after getting their answers, you can configure the bot to offer a contact form at the right moment.

This Lead Generation feature lets you build a qualified database effortlessly.

1. Enable the contact form

By default, lead collection is disabled to promote a smooth conversation. To enable it:

  1. Go to your Dashboard.
  2. Select your chatbot and go to the Marketing tab (or Settings depending on your version).
  3. Turn on the Lead Collection toggle.
  4. Configure the fields you want to request:
    • Email: (Required) To follow up with the person.
    • Name: To personalize your future exchanges.
    • Phone: Useful for a sales call-back.

2. Define the trigger (The right moment)

The key to good conversion is timing. DoxyChat lets you choose when the form should appear.

Option A: Immediate trigger (0 messages)

The form appears as soon as the user opens the chatbot, before they can even ask a question.

  • Behavior: “Please leave your contact details to start the conversation.”
  • Recommended use: To replace a traditional contact form on a “Contact” page or for a VIP service reserved for registered users.

Option B: Conversational trigger (After X messages)

This is the most effective approach (“Hook”). Let the visitor ask a few questions, get value, and then engage them.

  • Setting: Set the slider to 3 or 5 messages.
  • Behavior: The user chats freely. After the 3rd exchange, the bot pauses: “To go further, could you leave me your contact details?”. Once the form is filled out, the conversation resumes normally.
  • Recommended use: Customer support, product inquiries, real estate.

3. View and manage your Leads

All captured data is stored securely in your customer area.

  1. Go to the Leads tab of your chatbot.
  2. You’ll find a table listing all captured contacts with:
    • The date and time.
    • The lead’s identity (Name, Email, Phone).
    • The context: A link to the associated conversation history. This lets you know exactly what the customer was looking for before you call them back.

Export data (CSV)

To import these contacts into your CRM (Salesforce, HubSpot), your email tool (Mailchimp, Brevo), or simply Excel:

  1. Click the Export to CSV button at the top of the table.
  2. A .csv file will be downloaded immediately to your computer, ready to use.

GDPR note: By enabling this feature, make sure your Privacy Policy mentions data collection via the chatbot. The form includes a default legal notice.
